Records Retention Statement
Last updated: June 27, 2026
TD Watts Consulting, LLC ("TD Watts") maintains a records retention program to ensure that business and client records are retained and disposed of in a consistent, compliant, and secure manner. This statement outlines our general retention practices.
1. Retention Principles
- Records are retained only as long as needed to fulfill business, legal, regulatory, or contractual requirements.
- Records subject to litigation hold or legal proceedings are retained until the hold is released.
- Records are disposed of securely when retention periods expire.
- Government contract records are retained in accordance with FAR and agency-specific requirements.
2. Retention Schedule
| Record Type | Retention Period |
|---|---|
| Client engagement records and deliverables | 7 years or per contract terms |
| Contracts and amendments | 7 years after termination |
| Financial and billing records | 7 years |
| Tax records | 7 years |
| Human resources records | 7 years after separation |
| Website analytics data | 26 months |
| Newsletter subscriber data | Until opt-out or request |
| Government contract records | Per FAR 4.703 (varies by record type) |
3. Government Records
As a federal contractor, TD Watts complies with the retention requirements of the Federal Acquisition Regulation (FAR) Part 4.7, which prescribes specific retention periods for various records related to government contracts. Where FAR retention periods exceed our general schedule, the FAR periods govern.
4. Legal Hold
When litigation, investigation, or regulatory action is anticipated or underway, TD Watts will issue a legal hold that suspends the routine disposal of relevant records. Records subject to a legal hold are preserved until the hold is formally released, regardless of their scheduled retention period.
5. Secure Disposal
When records reach the end of their retention period, they are disposed of securely. Electronic records are permanently deleted or rendered unrecoverable using approved data destruction methods. Physical records are shredded or otherwise destroyed in a manner that prevents reconstruction.
6. Data Subject Requests
Individuals may request deletion of their personal data as permitted by applicable law. Some records may be retained beyond deletion requests where required by legal or regulatory obligations. For questions about records retention, email privacy@tdwatts.com.
